 They now seek a SA head of workplace to join their team. This is a new role and an active position. As with their commitment to diversity – roles are ideally suited to suitably qualified affirmative action candidates.

JOB DESCRIPTION WILL INCLUDE BUT NOT BE LIMITED TO:

  • You will be is responsible for implementing the workplace strategy appropriate for the Southern African offices as well overseeing the day-to-day delivery of workplace operations; This involves creating a positive workplace environment and experience for all those who interact with their Southern African locations;
  • You will be responsible for the management of the teams which provide the on-the-ground office operations and facilities management support to the business to ensure the smooth running of the daily office life;
  • Property strategy:
    • You will be required to work with the SA Leadership team to define the property strategy for the Southern Africa region;
    • You will be required to ensure this aligns, where appropriate, with global property strategy;
    • You will be required to understand and deliver innovative workplace solutions;
    • You will be required to work with property agent to negotiate real estate transactions and agree leases in conjunction with Africa Manco and the legal team;
  • Workplace management:
    • You will be responsible for overseeing project management and delivery of new or refurbishment works, including:
      • Architectural design;
      • Planning and tenders;
      • Programme development and implementation;
      • Lead external consultant teams;
      • Move management and space planning;
      • Change management including staff engagement and comms;
    • You will be required to plan, organise and implement office changes or re-configurations;
    • You will be required to improve the working environment in offices, by ensuring the highest standards of hygiene;
    • You will be required to make suggestions and put forward business cases for improvements in look & feel, layout, etc. across the region where necessary;
  • Facilities management:
    • You will be responsible for all hard and soft facilities management incl. security, cleaning, catering, front of house, postal service, reprographics and maintenance;
    • You will be required to implement standard and consistent facilities management processes if appropriate for the region;
    • You will be required to assist in the preparation and implementation of office administration and finance procedures;
  • People management:
    • You will be responsible for hiring, training, retaining and management of facilities management support and front of house teams and overseeing outsourced service providers and their on-site personnel;
  • Supplier and contracts management:
    • You will be required to manage third party relationships including suppliers and contractors of all outsourced facilities services, including:
      • Benchmarking costs;
      • Standardising costs and service lines where applicable;
      • Consistent standards;
    • You will be required to implement and regularly review service level agreements and key performance indicators for service contracts, to ensure that we achieve value for money
  • Environmental, regulatory and health & safety management:
    • You will be required to coordinate environmental and health & safety initiatives and reporting across the region;
    • You will be required to advise management on matters including environmental issues, security and health and safety;
    • You will be required to implement systems and processes for safe and secure running of offices, including all critical and emergency planning processes;
    • You will be required to minimise any conflict between safety and business activity, assess the risks and propose workable solutions;
    • You will be required to ensure robust reporting regimes are in place for health and safety statistics;
    • You will be required to ensure that local legislative requirements are also met;
  • Risk & compliance:
    • You will be responsible for adhering to the code of ethics and related policies, including:
      • personal account dealing, gifts, market abuse, etc.;
    • You will be responsible for ensuring compliance training, declarations and relevant forms are completed on a timely basis;
    • You will be responsible for ensuring that firm and client data and property, including IT data, are properly protected;
    • You will be responsible for reporting any possible and actual breaches, errors, complaints or conduct issues;
    • You will be responsible for reporting any suspicion that a client, investor, or employee may be involved in money laundering, fraud or other crime such as market abuse.

CORE QUALIFICATIONS AND EXPERIENCE:

  • You have a minimum of 5 years’ current, relevant experience of managing office environments within a global or multi-national organisation – this is essential – and in the services industry not manufacturing or parastatal;
  • You are a member of South African Association of Facilities Management (SAFMA) – this is desirable;
  • You have a strong understanding of technical and facilities management operations;
  • You are able to understand lease terminology;
  • You are able to demonstrate an ability to improve systems/procedures and deliver efficiency;
  • You have the ability to analyse and streamline business activities to create best practices within office operations;
  • You have the ability to generate presentations for Exco level distribution;
  • You have the ability to work productively in a dynamic deadline-driven environment, independently but also as part of teams;
  • You have the ability to negotiate with suppliers;
  • You have the ability to manage, motivate and develop teams;
  • You are able to contribute to budgets and monitor actual costs against budgets;
  • You have current, relevant experience of office relocations;
  • You have a strong understanding of space planning and design.
  • You have current, relevant experience with CAD;

This is  a new role for the group. Highly pressurised and demanding with a very particular and rare skill base.  You will be well rewarded for your efforts.
